Privacy Policy

1. Who We Are

Close the Trade is operated by Artemis LLC (“we,” “us”). This Privacy Policy explains what data we collect, how we use it, and the rights you have over it.

2. Information We Collect

a. Account information

  • Email address (required for authentication)
  • Display name, timezone, trader profile preferences
  • Subscription tier and Stripe customer ID

b. Trade data

  • Executions imported via CSV or Interactive Brokers Flex Query (symbol, side, quantity, price, timestamp, fees)
  • Derived trades and your tags (setup, conviction, thesis, emotions)

c. Voice recordings and journal content

  • Audio files you record through the Service (stored privately in encrypted cloud storage)
  • Transcripts produced from those recordings
  • Text journal entries and AI-generated summaries

d. Encrypted brokerage credentials

  • If you opt in to IBKR auto-import, your Flex Query token is encrypted at rest with AES-256-GCM. We never log the decrypted token.

e. Usage and technical data

  • Log data (IP address, browser, timestamps, error reports)
  • Usage counters (number of trades imported, voice memos, AI analyses per month)

f. Payment information

  • Payment card details are handled directly by Stripe and never touch our servers. We store only a Stripe customer ID and subscription status.

3. How We Use Your Information

  • To operate, personalize, and improve the Service
  • To transcribe and analyze your trade and journal data via AI
  • To send transactional emails (daily reports, account notices)
  • To process payments and prevent fraud
  • To enforce Terms of Service and respond to legal obligations

We do not sell your personal information. We do not use your trade data, recordings, transcripts, or journal entries to train AI models for any third party. We do not show advertising in the Service.

4. AI Service Providers

Specific subprocessors that handle Your Content as part of providing the Service:

  • Anthropic — used to generate trade feedback, daily reports, journal analysis, pattern descriptions, and conversational coach responses. Anthropic does not retain your data for model training under its commercial API terms.
  • OpenAI — used for voice transcription via the Whisper API. OpenAI does not use API data to train models per its API terms.
  • Supabase — database, authentication, and encrypted object storage (voice memos).
  • Stripe — payment processing.
  • Resend — transactional email delivery.
  • Vercel — application hosting.

5. How We Store and Secure Data

  • Trade data and journal content are stored in PostgreSQL with row-level security. You can only access your own data.
  • Voice recordings are stored in a private object storage bucket with per-user access policies; only you and our backend processing can read them.
  • IBKR Flex Query tokens are encrypted at rest using AES-256-GCM with a server-only key.
  • All data in transit is encrypted via TLS.

6. Data Retention

  • Your account data is retained while your account is active and for up to 30 days after deletion to allow for account recovery and legal compliance.
  • Voice recordings can be deleted at any time from your journal. Deleted recordings are removed from object storage within 30 days.
  • Anonymized usage logs may be retained longer for security monitoring and fraud prevention.

7. Your Rights

Subject to applicable law (including the California Consumer Privacy Act and the EU General Data Protection Regulation where relevant), you have the right to:

  • Access the personal information we hold about you
  • Request correction or deletion of your information
  • Export your data in a portable format (CSV / JSON)
  • Opt out of marketing communications (transactional emails will continue)
  • Object to certain processing or restrict it (note: this may limit Service functionality)
  • Lodge a complaint with your local data protection authority

8. California Residents

Under the CCPA, California residents have specific rights regarding the collection, use, and sale of personal information. We do not sell personal information. To exercise your CCPA rights, contact us at the address above.

9. Two-Party Consent and Voice Recordings

The Service is intended for solo, self-directed journaling. By recording voice memos through the Service, you consent to having those recordings processed as described in this Policy. You are responsible for compliance with any applicable wiretapping or recording-consent laws if a recording captures the voice of any person other than yourself.

10. Children

The Service is not directed to children under 18 and we do not knowingly collect personal information from children. If we learn we have collected information from a child, we will delete it promptly.

11. International Transfers

We process and store data in the United States. If you access the Service from outside the US, your information will be transferred to and processed in the US.

12. Changes to This Policy

We may update this Policy from time to time. Material changes will be announced by email or in-app notice at least 14 days before they take effect.
